VIGRE Travel Funding Guidelines

Who is eligible: All graduate students in the math, applied math, and statistics departments with U.S. citizenship or permanent resident status.

What can be covered by VIGRE travel funds: airfare on a U.S. carrier, lodging, registration fees, short courses, other transportation, food, etc.

What can NOT be covered by VIGRE travel funds: airfare on a non U.S. carrier

Maximum amount of VIGRE travel funds: The guideline the Steering Committee has for this is a maximum of $500 per student per year for all travel support from VIGRE. If the travel is to a foreign country the committee understands this can be more expensive, they have been willing to lump two years together.

Additional travel support: VIGRE tries to share the cost of travel with the Ph.D. advisor, and so please note if the advisor has a grant that would help to cover the travel (in addition to VIGRE support).

Process for Requesting VIGRE Travel Funding

1) Submit an initial request* for funding to Doug Lind (lind at math.washington.edu, (206) 543-1723). This request should include: a) Purpose of travel, including official titles and dates b) Specifics of what you are asking VIGRE to fund (airfare, hotel, etc) c) A monetary estimate of each item d) A brief statement from the Ph.D. advisor or other faculty advisor about the importance of this travel for the student

2) You will receive word from Doug with how much your request has been funded. Note that this may not be the full amount that was requested

3) You may purchase and be reimbursed for what has been approved. Collect the receipts and submit them, along with a statement of the purpose of the trip including dates to Mary Sheetz (sheetz@math.washington.edu, C-138 Padelford Hall, (206)543-6163). Once she completes the travel expense voucher, you will need to sign the voucher and then it will be processed. Once everything has been processed the check will be mailed to you.

* Sample student request: I am scheduled to give a 30 minute presentation at the Laser and Applications in Science and Technology conference in San Jose, CA 24-29 of January 2004. This conference is attended by the international community of optics researchers. My expenses are as follows: airfare $165, hotel ($189 per night *1.1004 tax *5 nights =) $1039.88, registration fee $175, transportation to and from the San Jose airport $50. Total $1429.88. My advisor's grant will pay for hotel and transportation to and from the airport for a total of $1089.88. I am asking for the remaining $340 (airfare and registration fees) to be covered by VIGRE.
